Privacy Policy

CargoScan (a MarketingLabAI product) processes personal data fairly and transparently. Below is a description of what data we collect and how we use it. Data controller: [company name, to be added after legal entity registration].

What data we collect

• Email address at account registration
• The uploaded freight order PDF document
• Structured data extracted from the document (dates, addresses, cargo, penalties, vehicle requirements, etc.)
• Messages in the chat with the AI assistant, including contact details (email or phone) if you provide them

How long we keep data

• The uploaded PDF file itself is stored on the server for 48 hours after upload, then automatically deleted
• Extracted structured data remains available in your account for as long as the account exists
• Messages sent through the AI assistant (feedback, integration requests) are kept indefinitely

Who we share data with

• The content of the uploaded document is sent to third-party AI providers (Anthropic Claude, OpenAI) for data extraction
• Data is stored on our own servers (database and application hosting)
• Payments are processed through Lemon Squeezy (Merchant of Record) — the data necessary for the payment (email, amount) is shared with them
• We do not sell or share your data with third parties for marketing purposes

Third-party data in uploaded documents

A freight order may contain personal data of individuals who are not CargoScan users (for example, a contact person at the loading or unloading site). Responsibility for the lawfulness of processing such data and for informing those individuals rests with the user who uploaded the document — see the Terms of Use for details.

Your rights

You can request deletion of your data by writing to us through the AI assistant on the site. Deletion is currently handled manually upon request — an automated “delete account” feature has not yet been implemented.
